Set Up Letters to Go

This is used to select contact details for letters to be sent to a customer or prospect.  It allows you to individually select accounts and hand pick the required contact name to be sent mail, as opposed to the global mailshot program that automatically selects accounts according to the target criteria you set.  The letters set up to go in this program, can be printed, faxed or emailed to the customer.  

1.   Firstly you should allocate a letter code and pathname for the letter to be sent and then edit the template letter so that it will contain the desired content.  
2.   Select Gx CRM from the toolbar.
3.   Select Contact Details from the menu.
4.   Select the required customer.  You can use the quick access lookup or advanced search to find an account if you do not know the exact account code.   
5.   Ensure the correct contact details are displayed on the right of the screen. This contact will be used as the addressee of the letter.
6.   Click on the Letter to go tab.
7.   Click on the graphic icon next to Letter Code. 
8.   Click the Letter to Send tab and from the drop down menu, select the required Letter Code.  The customer address and contact name details will be filled in automatically.  These can be amended here if necessary for this letter.  Note: to permanently update contact addresses use the Gx Sales\Customer Details program. 
9.   Add your Position and Signatory.  You may wish to create a new position if your job title is not already available in the drop-down menu. 
10.      Click the Save button.  The letter to go details are saved in a temporary file until you are ready to generate the letter.  They can be saved till there are several accounts with letters to go and can be generated in a batch.
