In Power-Gx, the easiest way to locate a customer or prospect record if you
do not know, or wish to type in, their full account code or reference number is
to use their quick access code. Prospects are automatically
allocated the first
six letters of their company name as their quick access code but you can
choose what you wish to set for customers. This is entered as the Account
Name Sort String on the Options tab in Customer Details.
Please note that after selecting to search for a customer or prospect from
within Contact Details in the CRM you will be given the option to perform a
CRM Search, click here for more details on this search
facility.
For a more complex search, e.g. to find a customer or prospect from their
telephone number, post code or part of their name, you can use the Advanced
Search.
Quick Access Code
1. Where prompted for the Account Code,type the first few letters of the
quick access code (i.e. the Account Name Sort String).
2. This displays a list of all customers whose sort string begin with those
letters. To display the prospects whose names begin with those letters,
click the Prospects button on the list window. Click Customers to return
to the customer list . Note: if you are in a customer or prospect specific
program, you will not get the option to choose between customers and
prospects.
3. Double click the required customer or prospect from the list to open up
their record.
Advanced Search
The basic principles for the advance search are Choose Dictionary + Search Operand + Selection Criteria
Some examples are given in the table below:

The square bracket characters [ and ] used in the selection criteria are known
as wildcards. They allow you to match any characters on either side of the
brackets. For example if the telephone number had a dialing code in front of
the number, this search would still match it. [Smith] will select any records
containing Smith somewhere in the customer name, including John Smith, R.
Smith & Co, Smithson Ltd, Smith & Morris etc. If you simply type Smith it will
only match records where the company name is Smith exactly. Multiple
search dictionaries and selection criteria can be used to specify the records
retrieved.
1. Click on the icon next to Account Code.
2. Decide whether to run a Customer Detail Search, Customer
Transaction Search or Prospect Detail Search,and click the required
radio button.
3. If you have selected transactions, you will be given a further choice to
select which age of transactions to search on; History, Current, or Future.
4. A list of possible search dictionaries will be provided. Double click the one
you wish to search on.
5. Next choose the required operand.
6. Now type in the required Selection Criteria. This must be enclosed by
double quotes e.g. "[4560022]", "01/01/06", "Smith]". Click the Ok button.
7. Add further dictionaries and selection criteria if required.
8. Click the Select button. This displays the search results. The account
code column is automatically included.
9. Double click the required account from the list to open up their record.
Further examples of this type of search using dictionaries, operands and
selection criteria are given in Example Ring Lists. The principles
of using
search dictionaries and selection criteria are useful to master and can be used
to search for accounts in programs such as Gx CRM\Contact Details
and Customer Details and to apply Advanced Selections to reports to
narrow down
the customers included in the report.
