Gx CRM\Contact Details allows you to create multiple contacts for a
customer or prospect, and record their personal contact details such as
extension numbers, individual email address etc. Contact names can then be
used to record the correct name against
current call details
, as the addressee
for any
letters and mailshots, and for the buyer on
sales
orders
.

Press the new contact button or enter a Contact Code. This is usually the next available number.
6. Click the check box next to the Contact Code if this person is the main
contact for this customer or prospect.
7. Fill in the contact details on the left hand side, including email address if
you wish to be able to email this person forms and mail shots directly from
Power-Gx. Note: be careful which case you enter the details in, as letters
will export the data exactly as it appears here. E.g. if you forget capital
letters on names, they will appear this way on letters and labels. Click

Location (Delivery
Address) that this contact is based at if this account has more than one
address set up. If the Location has been setup with Cost Centres
select one from the drop down list.

8. In the Category box to the right, click the first blank line to display the
drop-down menu indicator, click it, then select the main function this
contact person will be associated with from the menu. This will allow you
to produce
target mailshots
to contacts with a specific category to ensure
they are addressed to the correct contact person. Click

9. To add a photograph of a contact person, click on the grey box to the right
of Category. This opens the file
browser
window where the image file
containing the photograph can be located and selected.
10. If Power-Gx is integrated with your web site and you do not want the contact visible on it tick the Website Disabled box.
11. Type any notes you wish to record about this contact person e.g. the
days/hours they are available, in the Comments box.

Forms
- if this contact person's email address is to be used for
emailed sales order acknowledgements, invoices or statements, you must
tick the relevant check-boxes.

Marketing Status - select a status from the drop-down list. There are 3 statuses, Legitimate Interest - you have a legitimate interest in sending this contact marketing information, this could be for many reasons, eg. they have placed orders in the past, however, your legitimate interest should be described in full in your company's privacy policy. Opt In - the contact has explicitly asked to receive marketing information. Unsubscribed - the contact has explicitly asked not to receive any marketing information.
14. If the customer has been web enabled
(see
Customer Details for instructions on how to do this)
the Web tab will be active. The prompts on this tab allow you to set up
and configure an Web User Account for this contact as follows. Please note that a Contact for use on your website must have a valid email address.
·User ID is the contacts unique username that they use to log on to the website. Please note that the system will produce an error if another user exists with this username.
·Password is the contacts own password that they use to log on to the website.
·Credit Limit, you may assign the user a credit limit, if they
place an order that exceeds this limit the order will be put on query. Epower sites only.
·Only Allowed Orderpad, tick this checkbox
if you want to restrict the user to the items on their
Orderpad. Epower sites only.
·Authorisation User, if a user needs to have their orders
authorised by another user, enter their User Id here. When the user
places an order the Authoriser will receive an email alerting them that an order
is awaiting authorisation, they can log in to the website and call up this order to
amend and submit it. Once submitted the user who originally placed the order
will receive an email acknowledging the order. Epower sites only.
·Show Thumbnails, select this option if you only wish this user to see thumbnail images. This option is only used with the pre-Silverlight version of Epower.
·Management User, select this option if you wish this user
to see all orders awaiting authorisation in Epower.
·Warehouse, select the Warehouse from the drop down list that you wish this User to place their Epower orders through.
·Pay by Credit Card, select this option if you wish the user to checkout through Sage Pay and pay by a credit card. Epower sites only.
·Restricted Delivery Addresses,
use this list to restrict the Delivery Addresses that this Epower User can
select when they check out through Epower, it also applies to the Order History
they can view. The list shows all addresses that the user may select, to
add
to this list select an address from the drop down list towards the
foot of the screen and click add to append it to the list. To
remove
an address right click the mouse on the address in the list and
select the Delete Address option. Alternatively you can give the user
access to all the delivery address by ticking the All Addresses
