Create a Call Back

A call back is a date and time an operator sets themselves or another operator to call back this customer or prospect.  Prior to setting a call back, you may wish to update current call details to remind yourself why you are calling this customer or prospect back.  This is especially useful if you are setting a call back for another operator. 

1.   Select Gx CRM on the toolbar.
2.   Select Contact Details from the menu.
3.   Select the required customer.  You can use the quick access lookup or advanced search to find an account if you do not know the exact account code.   
4.    When you Save the Contact Details screen, the Call Back Details window automatically pops up. 
5.   Select the Operator to make the call back from the drop-down menu. Note: if you already have a current call back shown in the list you should double-click it to replace it with a new call back date.  
6.   Enter the call back date on the Call Back on line.  The date can be typed in the format ddmmyy or you can use the following codes to get the system to calculate the date for you: D1 for 1 day in the future, D3 for 3 days in the future, W1 for 1 week, M2 for 2 months, Y3 for 3 years etc.  Alternatively, you can use the graphic icon.  You may wish to click the View Ring List button to view your call backs already scheduled so you can decide which day to add this call back to. 
7.   Use the drop-down menu on the Call Back at line to select the time you will call back this customer on the selected date. 
8.   Click Add to enter this call back to the list.  It is important that you click the Add button before you save otherwise it won't enter your call back.   
9.    Click Save to save the call back details, and file this customer contact details record.  At this point the system will create an Outlook task and send it to the ringback operator, once accepted by the ringback operator this task will remind them to make the call on the date and time specified.  Please note that this task creation is not available by default patricularly if you are using Power Gx in the Cloud, please contact support if you wish to use this feature.
