Sales Ledger Period End
Previous Top Next

The Sales period end follows on from the Sales Order Processing period end and is normally run on the last day of the financial period after all transactions for the current financial period have been entered. This includes the posting and allocating of cash received and sales ledger journals.   However, the system will know that orders entered for the new month are not yet relevant, so it is ok if you are a bit late completing the Sales period end.

Before running the period end you should print any of the Sales Ledger reports you require, for example:
1.   Statements
2.   Debtors Report
3.   Sales Ledger Daybook Report
4.   Customer Turnover Report
5.   Customer Transaction Report
6.   Sales Ledger Nominal Analysis Report
7.   Customer Status Report

Now process the period end:
1.   Choose Gx Sales on the toolbar.
2.   Select Period End from the menu.
3.   The period end screen shows the current period each ledger is in (the period you are closing), and when the period end was last run for each ledger.  The one you are about to run, i.e. Sales Ledger, is highlighted in red text.
4.   Click the Ok button.
5.   You are displayed the date this ledger had its last period end run, and which operator ran it.  Click Yes to continue.
6.   The system will display various messages as it updates files and moves transactions into history.  You will be advised when the period end has been successfully completed.  Click Ok.
7.   All of your period end dates will have been moved on, so it is good practice to update the future sales period end dates.
8.   The Purchase Ledger period end comes next in the period end routine.

You may wish to use the printable Power-Gx period end checklist as a reminder of what you should run and the order in which to run them.
