Email a Specific Group of Contacts

This can be used to email groups of contacts using selection criteria that is not available in the Send a Global Mailshot Email program which allows you to select recipients by Customer Type, Market Class or Mailshot Category.  This option allows you to enter more advance selection criteria such as outstanding balance, rep code, post code area, last order date etc.

1.         Select Gx CRM on the toolbar.
2.         Select Contact Details from the menu.
3.         Click the graphic envelope icon in the toolbar.
4.         Click the graphic search icon in the popup Gx System\Select Email Recipients window as shown:

5.         This opens the Advanced Search window.  Make sure the Customer Details radio button is selected.
6.         A list of possible search dictionaries is provided in the centre of the screen.  Double click the one you wish to search on.  E.g. Rep Code, Post Code, Last Order Date etc.
7.         Next choose the required operand from the buttons to the right of the dictionary options. E.g. EQ, GT, LT etc
8.         Now type in the required Selection Criteria.  This must be enclosed by double quotes e.g. "01", "NE11]", "01/10/09". 
9.         Click the Ok button.
10.      To be able to send an email you must filter the list to include only accounts that you have an email address set up.  To do this double click the Email Address dictionary. 
11.      Click the NE operand button.
12.      Type "" in the Selection Criteria box.
13.      Click the Ok button.
14.      Click the Select button.  This displays the search results.  Click here to view an example of this screen.    
15.      Click the Return Results button to enter the selected email addresses from this search into the Select Email Recipients window.  Highlight all the email address in the left hand box and click the To button.
16.      Enter a Subject for your email.
17.      Click the Ok button. 
18.      Microsoft Outlook usually displays a warning message asking you to confirm that it is ok to use your email account to send an email from this program.  Tick the check-box to allow access then choose Yes.
19.      Outlook will open a blank email addressed to the recipients selected, with your subject entered.  
20.      Type the text in the email and send as normal.
