Automatic Account Stop or Query

This allows you to automatically stop or query accounts, according to the criteria you select in this program.  This automated process is quicker than manually putting customers on stop or query, and is normally run after you post customer payments.  Sales orders can still be entered for queried accounts but the system will prevent orders being placed for accounts on stop.

1.   Select Gx Sales on the toolbar.
2.   Select Stop Accounts from the menu.
3.   The Select Accounts By options allow you to choose the criteria to apply when selecting accounts to be automatically stopped or queried.  Tick one or more of the options by clicking the check-box(es).  The Credit Limit Exceeded option refers to the credit limit set for an account on the Balances tab in Customer Details.  If you are selecting accounts based on their overdue balance, you can enter an Allowed Balance to discard accounts with a small or credit balance, for example you may only wish to auto-stop account with a 3 month old balance that is greater than £50. 
4.   Choose whether you wish to put the accounts selected On Query or On Stop.  Click the required radio button in the Put Account options. 
5.   Click the Select button.  The system will display two lists of customers selected by the criteria you have entered.  The first is a list of customers that will be put on stop or query.  The second list is customers who were on stop or query but no longer meet the criteria entered so will be taken off stop or query. 
6.   Untick any accounts from the two lists that have been selected which you do not want to be put on or taken off stop or query. 
7.   Click the Update button to apply the stop or query to the selected accounts.
