Create a Ring List

A ring list is a target list of customers or prospects to be called by an operator, usually as part of a telemarketing effort.  Accounts can be selected based on criteria you set, for example customers who have not ordered in 6 months, prospects with a specific market class etc.   

The basic principle for setting selection criteria to create the list is:
Choose Dictionary + Search Operand + Selection Criteria.

The square bracket characters [ and ] used in the selection criteria of the last two examples are known as wildcards.  They allow you to match any characters on either side of the brackets.  In the post code example it means that the search will select any postcodes beginning with NE regardless of what comes after these letters.  The company name example means the search will select any accounts with the word School in their name regardless of the text that appears on either side of the word.  You can use OR between criteria so that the search considers more than one value, for example rep code EQ 01 OR 02.  Multiple search dictionaries and selection criteria can be used to specify the records retrieved. 

1.       Select Gx CRM on the toolbar.
2.       Choose Add a Ring List from the menu or by clicking on the graphic icon.
3.       Give the list a Ring List Code.  This code can be alphanumeric. 
4.       Give the list a Description.  This should describe why these accounts have been selected, e.g. "Rep 2's Prospects", "Customers in NE1".
5.       Click the radio button to select Customers or Prospects.   
6.       A list of search dictionaries will be displayed. Double click the dictionary you wish to use to select accounts for this Ring List.  This will put the dictionary name in the Query window. 
7.       Select a search operand button.   
8.       Now type in the required Selection Criteria.  This must be enclosed by double quotes e.g. "100", "01/01/06", "solicitor", "NE]".   
9.       Click the Ok button.  This displays the search dictionary with the selection criteria set against it in the Query window.
10.     Add further dictionaries and selection criteria if required.  These will also be displayed in the Query window.
11.     When you have entered all the search dictionaries and selection criteria, click the Select button.  The search results will then be displayed showing the the accounts that meet the ring list criteria.   As well as the dictionaries you have selected, the account code column will be displayed.
12.     To amend your selection criteria, click a line in the Query window and overtype or delete the details in the Selection Criteria window .  Double click a line to remove it from the search.  Click the New Select button to re-run the search and display the new results.
13.     Tick the Permanent List? box on the bottom right if you want this list to remain on the system after you have made all the calls on the list. Normally this box is unticked and when you make a call, the customer is removed from the list. 
14.     Click the Print button to print a hardcopy of the list.  Choose where you want to Send Report To.  (more info)
15.     Save your ring list.
